We don’t replace your ATS — we add a secure client portal.

Today

  • Candidates buried in endless email threads
  • No proof the client opened a profile
  • Feedback scattered across calls and SMS
  • Hard to demonstrate GDPR compliance

With StaffBridge

  • One secure portal shared with each client
  • Explicit read confirmation on every share
  • Notes and chat next to the candidate card
  • Full audit log ready to demonstrate

How it works

From candidate to decision — in four steps

Simple for recruiters, clear for client companies: every share has an owner, a read confirmation and a place for the company decision — without losing threads in the inbox. Click a card to expand the details.

  1. 1

    Agency shares a candidate card

Profile, CV and documents go to a portal scoped to that company. Other clients cannot see them.

    More about this step

The recruiter chooses the candidate and companies that should see them. Sharing does not dump files into email — the client signs in and works on the live card.

    • Share with several companies at once, with a separate read history per client.
    • Agency-only notes stay with staff — clients only see what you are allowed to show.
    • Every share is audited: who, when, which company.
  2. 2

    Client gets a notification

Email, SMS or push — they know a new candidate is waiting, without chasing “did anything arrive?”.

    More about this step

Channels are set per agency and per client user. The notification links straight to the list or card — no hunting through the inbox.

    • Email with a portal link; SMS and push when decisions need to be fast.
    • The agency sees in-app whether the alert was delivered and whether the client signed in.
    • Noise control: new shares only, or replies and messages too.
  3. 3

They confirm the read and leave notes

Every open is logged. Comments and decisions stay with the candidate, not in private chats.

    More about this step

Before the full card opens, the client ticks view consent — that is when the agency gets a hard read confirmation with time and user.

    • Company decision: not interested / interested / accept — phone and CV unlock in stages.
    • General remarks and client-side notes stay on the card, visible to the account manager.
    • An account watermark on the preview discourages screenshots leaking outside the process.
  4. 4

    Messaging and audit

Shares, reads and messages — ready for GDPR accountability and internal reviews.

    More about this step

Messenger and notes are tied to candidate and company — context survives when the owner changes. Event logs can be filtered and exported.

    • Trail: share → notification → read → decision → optional acceptance.
    • Material for the DPO and internal control without assembling history from email and SMS.
    • Stats show recruiter activity and client reactions for a chosen period.

Features

Everything you need for secure client collaboration

From company-level data isolation and read receipts to CSV import and PWA — one platform covers what a plain ATS usually leaves open.

Secure client portal

Each company sees only its candidates. Tenant isolation protects data even with many clients on one install.

More

A client account is bound to its company — no accidental peek at another client’s list. Agency staff manage roles without mixing company data.

Email / SMS / push alerts

Clients are notified on their preferred channel. The agency can see delivery and in-app read status.

More

Channel preferences are set per user. SMS can be pay-as-you-go or bundled — no separate alerting tool.

Read confirmation

Know exactly when and by whom a profile was reviewed. No more guessing whether the CV was opened.

More

A read requires explicit consent to open the card. Timestamp and user go into recruiter history and the audit log.

Documents & CV preview

View CVs in the browser and export to PDF. Documents unlock in stages — after the client shows interest.

More

Until “Interested”, the client sees a limited field set. Full phone and files appear only after a deliberate company decision.

Messaging on the candidate

Notes and chat stay attached to the right profile. Decisions no longer hide in private email threads.

More

Threads are per company and candidate. A new account manager sees context immediately — who asked about terms, who accepted, what was clarified.

Excel / CRM import

Upload your existing candidate base via CSV/XLSX and go live — without retyping hundreds of cards.

More

Column mapping on import, validation and an error report. CSV export works the other way — for reports and archive.

Full event audit

Every share, read and change — evidence for GDPR and material for internal quality reviews.

More

Filter by user, company and event type. Configurable retention aligned with your policy and DPA.

PWA app

Installs like a mobile app — phone, tablet and desktop, including work outside the office.

More

One browser install, desktop icon, push notifications. No separate app stores or long mobile release cycles.

Client portal

What client companies see in StaffBridge

Each company only sees candidates shared with them. Access is staged: list → card after consent → phone and CV after interest. That protects candidates and gives the agency a clear status — without creating another ATS account for the client.

1

Shared list

A focused panel: candidates, requisitions, notifications and chat with the agency — without clutter.

More

Filters and search like staff tools, but scoped. Clients immediately see decision statuses and new shares from the agency.

2

View consent

Opening a card requires explicit consent — the agency gets a timestamped read confirmation.

More

Without consent there is no full card. Entering the list alone is not enough. Read confirmation is proof in the process.

3

Company decision

Not interested / Interested / Accept — phone and CV unlock only after a deliberate decision.

More

Staged disclosure reduces premature exposure of contact data. The agency sees every status change.

4

Notes and chat

Remarks on the candidate plus messenger with the agency contact — conversation history stays on the card.

More

Questions about terms, documents and timelines do not vanish into private SMS. A new contact continues the thread without handing over an inbox.

Who it’s for

Two sides of one collaboration

One platform — two experiences: full control for the agency, simple secure access for the client company.

Recruitment agencies

Share candidates with many companies at once, with full control and visibility on your side. See reads, decisions and message history without losing threads.

Client companies

Simple, secure access to candidates prepared by the agency — without another ATS. Staged disclosure protects candidates and gives the agency a clear status.

Security & GDPR

Candidate data deserves serious protection

Built from the ground up for data protection in recruitment: encryption, 2FA, audit and DPA — not as an add-on, but as the default way of working.

Data encryption

Argon2id passwords, AES-256-GCM for sensitive data. Protection at rest and in transit — without production shortcuts.

Two-factor auth

TOTP for accounts with access to candidate data. An extra layer for staff and client logins.

HTTPS / TLS

Encrypted traffic with Let’s Encrypt certificates. Sessions use secure cookies and rotating refresh tokens.

Full audit log

Shares, reads and changes — ready to demonstrate for internal reviews and supervisory authorities.

DPA

Clear processing terms aligned with GDPR and a processor list for each installation.

EU hosting

European infrastructure, only necessary processors. Candidate data does not wander outside the agreed model.
